  • Asset information: location, pump identification, rated capacity and pressure, driver type, controller, and available nameplate data.

  • Routine logs: date, start and stop times, personnel, operating conditions, gauge readings, alarms, leaks, noises, vibration, and other observations.

  • Deficiency records: description, severity or impairment status, notifications, interim precautions, work order, corrective action, retest, and closure approval.
  • Change history: controller work, pump or driver repairs, valve changes, system modifications, and relevant acceptance or post-work testing.

Photos can add context, but they should supplement—not replace—readable measurements and written findings. Store the final signed report rather than only an emailed scheduling note or invoice.

How should a facility manager review a fire pump test report?

Do not stop at a pass/fail label. Compare the report with the asset record and prior results. Trend changes can matter even when a single test is reported as acceptable.

A deficiency log should distinguish an observation from a condition that impairs system operation. When an impairment exists, follow the applicable impairment procedure, including required notifications and temporary precautions. The AHJ, insurer, monitoring provider, emergency contacts, and affected occupants may have defined roles; the correct list is property-specific.

  1. Record the exact condition and affected equipment.
  2. Determine its classification with qualified fire-protection personnel.
  3. Make required notifications and implement approved interim measures.
  4. Issue a work order with a named owner and target date.
  5. Complete the repair and any required testing.
  6. Document restoration, notifications, and formal closure.
